Delivery and follow-up: getting the mortgage lead to you, and you to the borrower

The borrower raised their hand. Every minute after that is yours to lose.

Free plan, no card. Paid plans include a 14-day trial.

Mortgage lead delivery and follow-up is where a hand-raise becomes a conversation. The lead is saved to your CRM, you get an email alert, and on paid plans it posts by webhook to HighLevel or another tool that starts a first touch. Then you call with the borrower's numbers in hand and move ready borrowers to pre-approval.

Key takeaways

  • Every lead is saved first; a failed webhook never loses it.
  • Email alerts on every plan; webhooks to HighLevel, Zapier or Make on paid plans.
  • Fast first touch with context beats a fast generic call.
  • Pre-approval is the next step, with documents and credit, in your own process.

How does a lead travel from the form to your follow-up?

In this order, so that nothing downstream can lose the lead.

  1. Saved in the CRM

The lead is stored in the built-in CRM with its inputs, results, consent and source, matched to an existing contact if one exists.

  2. Email alert

You get an email for each new lead, on every plan. On white-label plans it carries your brand.

  3. Webhook (paid plans)

On Producer and Brokerage, the lead is POSTed as JSON to your lead webhook: HighLevel, Zapier, Make or any URL. Per-calculator webhooks route by LO or program.

  4. Automated first touch

Your workflow sends an immediate text or email, within the consent the borrower gave, and creates a task or opportunity.

  5. Human follow-up

You call or message with the borrower's scenario in front of you.

A webhook failure never loses the lead

If your HighLevel workflow is paused, a Zap is off or an endpoint is down, the lead is still saved in PrequalFunnel's CRM with every number, and the email alert still goes out. Fix the connection and work the lead from the CRM meanwhile.

Why does speed-to-lead matter more with calculator leads?

Because a calculator lead is warm for a short time. The borrower just worked through their own numbers and asked for help. If the reply comes within minutes, it lands while they are still thinking about that scenario. If it comes the next day, it competes with every other lender they found since. That is the idea behind speed-to-lead.

Speed alone is not enough, though. A fast, generic "Hi, saw you're interested in a mortgage" wastes the advantage. The lead already says what price they tried, what down payment they have and what DTI they saw. A first message that reflects that, without quoting a rate or promising anything, shows the borrower you paid attention.

With HighLevel, map inputs and results into custom fields so the first text can reference them and the workflow can branch on them. The HighLevel integration shows the mapping; the first five minutes guide covers scripts.

Which delivery options are available on each plan?

What should the first call cover?

Confirm, fill gaps, and set the next step. Not a sales pitch.

Confirm the scenario

"You looked at around this price with this much down; is that still the plan?"

Check what the calculator could not see

Income type and history, assets, reserves, credit history and timeline.

Explain the estimate

Walk through what was in the payment and where real numbers may differ, without quoting a rate you have not priced.

Agree the next step

If the borrower is ready, start your application and document collection for pre-approval. If not, agree when to check back.

Where does pre-qualification end and pre-approval begin?

PrequalFunnel hands over at the line between the two.

Pre-qualification (this funnel)

  • Based on what the borrower tells you
  • Calculator estimates and your informal review
  • No credit pull, no documents
  • Sets expectations and identifies a likely program

Pre-approval (your process)

  • Based on verified documents
  • Credit pulled with permission, income and assets verified
  • Runs through your LOS and lender
  • Gives the borrower a letter for offers

Questions loan officers ask

How quickly do I get notified of a new lead?

An email alert is sent as each lead is saved. On paid plans, the webhook fires at the same time, so a HighLevel or Zapier workflow can notify you by text or app.

Can leads go straight into HighLevel?

Yes, on Producer and Brokerage. Each lead is POSTed to a HighLevel workflow's Inbound Webhook trigger, where you map fields and start follow-up.

What if my CRM is not HighLevel?

Send the webhook to Zapier or Make and connect from there, or to any URL that accepts a JSON POST. The built-in CRM also works on its own.

What should my first message say?

Reference the borrower's scenario and offer to review it, without quoting a rate or implying approval. Send it only within the consent they gave.

Do leads expire or get deleted?

No. Leads stay in your CRM. On Originator, watch the 100-contact limit; past it, new leads are not stored.

Can different LOs get different leads?

Yes. Per-calculator webhooks send each calculator's leads to a different workflow, so leads route by LO, program or language.

Does PrequalFunnel issue pre-approvals?

No. It does not pull credit, verify documents, price loans or issue pre-approvals or Loan Estimates. Pre-approval happens in your own process and LOS.

Is the webhook payload secure?

Webhooks are sent to the URL you provide; use HTTPS endpoints only. Webhook URLs stay on the server and never load in a visitor's browser. See security.

What happens when a returning borrower submits again?

The new calculation is added to their existing contact, and the webhook payload marks them as a returning contact, so your workflow can send a different message.
